Terms
Using EasyGIS
By accepting an invitation or signing in, you agree to these terms. EasyGIS lets you build and export maps by describing what you need in plain English. You’re responsible for the activity on your account, so keep your password to yourself and let us know right away if you think someone else has access.
Your account
EasyGIS is provided to organisations under a contract with us. You get an account when your organisation invites you to one of its Seats, and you need a valid work email address to accept. You must be old enough to enter a contract in your country. One person per account. Don’t share your Seat or your password with anyone else.
Acceptable use
Use EasyGIS for lawful work. Don’t upload data you have no right to use, attempt to break or overload the service, or use it to build maps that target individuals or break privacy law. We may suspend accounts that put the service or other users at risk.
Your maps and data
The data you upload and the maps you build remain yours. You grant EasyGIS only the limited permission needed to run the service: storing, processing and rendering your data so we can return the map you asked for. We don’t claim ownership and we don’t sell your data.
Service availability
We work to keep EasyGIS available and accurate, but the service is provided “as is”. Generated maps are a starting point. Check results before relying on them for safety-critical or legal decisions. We’re not liable for outcomes based on maps you haven’t verified.
Changes and closing your account
Your organisation can release your Seat at any time. Releasing it deletes your EasyGIS account and what EasyGIS keeps of it, though not the project files saved on your own computer. You can also ask us to close your account by emailing us. We may update these terms as the product evolves; if a change is significant we’ll tell you before it takes effect. Continuing to use EasyGIS after a change means you accept the updated terms.
Contracts and legal notices
Questions about these terms, our contract with your organisation, or a legal notice? Email us at legal@easygis.io.
Privacy notice
Who is responsible for your data
Boyne Smart Systems Ltd, the company behind EasyGIS, is responsible for the personal data described here. For anything about your data, email privacy@easygis.io.
What we collect
We collect what we need to run EasyGIS and nothing we don’t:
- Enquiries: your name, work email, organisation and message when you contact sales.
- Support requests: your email, your message and any screenshot you send.
- Accounts and Seats: your name, work email, and the organisation and department your Seat belongs to. For each organisation we also keep the contact details it gives us.
- Sign-in records: when you sign in, to keep your account secure.
Why we use it
We use your information to run the service, keep your account secure and answer you when you write to us. We don’t sell your personal data.
[The purpose and legal basis for each kind of data]
Who we share it with
We share data only with the service providers that help us run EasyGIS, such as hosting, email, the chat assistant and the security check on our forms, and only as much as they need to do their job. We may disclose information where the law requires it.
These are our service providers, what each does for us and where it keeps the data:
| Provider | Company | What it does for us | Where the data is |
|---|---|---|---|
| Supabase | Supabase Pte. Ltd., Singapore | Accounts, sign-in and the website’s records, such as organisations, Seats and usage | Frankfurt, Germany. Supabase’s support and its own providers are mostly in the United States |
| Google Cloud | Google Cloud EMEA Limited, Ireland | Hosting the website and the application, your organisation’s projects and files, backups and request logs. Its Vertex AI runs the chat assistant | Belgium, and Vertex AI in the EU |
| Cloudflare | Cloudflare, Inc., United States | Our domain names, the connection in front of both sites, and the security check on our forms | Cloudflare’s network worldwide |
| Resend | Plus Five Five, Inc., United States | Sending the website’s emails, such as invitations, password links and the messages you send us through our forms | Sent from Ireland, stored in the United States |
| Zoho Mail | Zoho Corporation B.V., Netherlands | Our email inboxes and calendar, where your emails and form messages reach us | The Netherlands, with a backup in Ireland. Zoho staff in India may have support access |
| Scaleway | Scaleway SAS, France | Runs the chat assistant’s backup AI models, used only when Google’s cannot answer | Paris, France |
The chat assistant
The chat assistant’s content is processed in Europe. What you type into it, its replies and the details of your project it needs to answer go to Google’s Vertex AI in the EU or, only when that cannot answer, to Scaleway in Paris. Neither uses them to train AI models. Like every request to our sites, it reaches us through Cloudflare’s network.
Transfers outside the EU
How each provider’s transfers outside the EU are protected, or why there are none:
- Supabase: EU Standard Contractual Clauses, in its data processing agreement.
- Google Cloud: None by us, as the company is in Ireland. Google protects its own transfers with the EU-US Data Privacy Framework or Standard Contractual Clauses.
- Cloudflare: Standard Contractual Clauses and the EU-US Data Privacy Framework.
- Resend: Standard Contractual Clauses and the EU-US Data Privacy Framework.
- Zoho Mail: Standard Contractual Clauses, in its data processing agreement.
- Scaleway: None while the processing stays in the EU, as the company is in France. Its agreement allows a transfer outside the EU only after telling us first, under Standard Contractual Clauses.
How long we keep it
We keep personal data only for as long as we need it for the reason we collected it.
[How long each kind of data is kept]
Your rights
You can ask to see, correct, export or delete your personal data, or object to how we use it, by emailing privacy@easygis.io. You also have the right to complain to the Data Protection Commission.
Data your organisation puts into EasyGIS
The datasets, prompts and maps your organisation’s people put into EasyGIS belong to your organisation. We handle them on its behalf, under our contract with it.
[How we handle your organisation’s data, as set out in the contract]
